    Hours: Full Time, Monday-Friday

    Contract: 12 months FTC

     

    The V&A Administrator will be responsible to ensure that all invoice values submitted from the supply chain are accurate and match the contract rates or quotation values held on the CAFM system. This in the main will be an automated process however the V&A Administrator will support the CAFM coordinator to ensure all contract rates are loaded on the system and will take the lead in dealing promptly with any anomalies that the system reject. The V&A Administrator will also support training of suppliers in the invoice submission process and will regularly review and chase down aged not cleared on the system.

    The V&A Administrator will act as single point of contact for all invoice submission related queries for Residential Care Services and will be expected to continually seek opportunities for improved system use across the supply chain.

     

    Key Responsibilities

    • To assist the Helpdesk Manager and Head of FM in delivering a valued, timely and above all efficient invoice flow process for the Residential Care Services division.
    • To assist the Helpdesk Manager in ensuring that all invoice/payment related supplier data is up to date
    • Take lead role in delivering user training for Suppliers on payment submission process through either face to face, by video conference call or over the phone.
    • To provide analysis on aged debt and supplier performance around invoice submission process
    • Build good working relationships with RCS Accounts Payable team, Helpdesk team, RFMs and account departments of supply chain.
    • Regularly undertake health check on system and report any problems and identify faults.
    • Comply with the Company Appraisal system and attend an appraisal every year.
    • Ensure updated mandatory training requirements are met.
    • As requested by Helpdesk Manager or Helpdesk Supervisor, support rest of team where time allows during peak periods of Helpdesk activity or lulls in CAFM activity.
